The appointment page
Select any appointment, from the Clinical Desk, the list, the calendar or a patient’s record, to open its page.
You can open any appointment if you have Read appointments. With only Assignable to appointments, you can open the appointments assigned to you.
What’s on the page
Section titled “What’s on the page”- Header: the patient, the date and time, the type, the priority, the room and the current status, with Update status and Actions buttons.
- People: the Assigned clinician (or Nobody assigned yet.) and who booked it (Booked by).
- Visit details: date, time, duration, room, when the Reminder and Confirmation were sent (or Not sent), when it was booked, and when it was last updated.
- Status history: every status change, newest first. Select Show all to see the whole list.
- Sections from modules, such as Teeth, Prescriptions, Complications, Invoices, Lab orders, Treatments, Forms, Notes or Consumables used. Each module’s page explains its section. Teeth (with Dental Chart) comes first: a compact, read-only picture of This visit’s teeth: the teeth of the treatments linked to the appointment and anything Found in this visit, a Full chart view of the patient’s whole chart, and Record finding to add a finding linked to this visit.

Section titled “Change the status”- Select Update status. The button only appears when there’s a status you’re allowed to move to.

Section titled “Actions”The Actions button (top right, next to Update status) opens a menu. It only lists what you may do with this appointment right now, so two people, or the same appointment at two moments, can show different menus. If nothing applies, the button isn’t shown.

Edit details
Section titled “Edit details”Edit appointment details lets you change the Type (Consultation, Follow up, Emergency, Treatment), Priority, Duration (minutes) and Room. Select Save changes. You see Appointment details updated.
- The date and time can’t be edited here. Use Update status › Rescheduled. See Reschedule.
- The patient can’t be changed. Book a new appointment for the right patient and cancel this one.
- Changing the type changes the visit price used by Generate Invoice on invoices made afterwards.
Assign or reassign the clinician
Section titled “Assign or reassign the clinician”Assign clinician (“Who is carrying out this visit.”) shows the current clinician (or Unassigned) next to your choice, and lists staff who can be assigned to appointments. Pick someone and select Assign. You see Clinician assigned. Assign stays disabled until you pick someone different from the current clinician. Once assigned, an appointment can be given to someone else, but not set back to unassigned.
Staff who already have an overlapping appointment at that time are marked with a scheduling conflict, with the clashing appointments listed. They can still be chosen.
You can also use Assign / Change next to Assigned clinician in the People card.
After assigning, the clinician sees the appointment under My patients on the Clinical desk, and gets a live notification when the patient checks in.
Create follow-up appointment
Section titled “Create follow-up appointment”Create follow-up appointment: “Books a new visit for the same patient. Set the date, time and duration.”
- Date, time & duration: it suggests the same time of day, 7 days from today. Change it as needed.
- Select Book follow-up.
The new appointment copies the patient, the clinician, the priority and the room, and its type is always Follow up. Every treatment linked to this visit is linked to the follow-up too, whatever its status. Unlink any that don’t belong to the next visit with Link treatments on the follow-up. You see Follow-up booked, “Scheduled for …”, with View appointment.
If no clinician was assigned: “Not assigned yet - can be done later from the appointment page.”
Link treatments
Section titled “Link treatments”Link treatments: “Choose which of this patient’s treatments belong to this visit.” It lists the patient’s treatments that are Planned, Ready to schedule, Scheduled, In progress or Partially completed, with those already linked ticked.
Tick or untick, then Save. You see Treatments updated. Linked treatments appear in the appointment’s Treatments section, and Generate Invoice bills them. See Patient treatments.
Unticking only removes the link. The treatment itself isn’t changed or deleted.
Add prescription
Section titled “Add prescription”Opens New prescription for this patient with this visit already set as the Linked visit. See Write a prescription. When you issue it, it appears in the appointment’s Prescriptions section.
Request lab order
Section titled “Request lab order”Request lab order: “Use tests this patient already has, or start a new order.”
- Create a new order (“Order new tests, already connected to this record.”) opens the new-order page with the patient and this visit filled in. Only offered if you have Create lab orders. See Ordering tests.
- Use existing tests (“Connect tests from this patient’s lab orders, so one result serves this record too.”) lists the tests on the patient’s open orders. “Tick the tests that belong to this record. Unticking removes the connection.” Search by test, panel or accession number, Select all / Clear all per order, then Connect # tests. You see Lab tests connected.
Connected tests appear in the appointment’s Lab orders section and are billed by Generate Invoice.
Generate Invoice
Section titled “Generate Invoice”Opens a new invoice for this patient, with lines already prepared from this visit: the visit itself, its linked treatments, lab orders and billable supplies. Review and save it. See Bill a visit in one click.
Add form
Section titled “Add form”Opens Add a form, filed against this appointment. See Filling in and correcting forms.
Add note
Section titled “Add note”Opens the New note page for a note on this appointment: start blank or from a template, write it (it’s kept as your private draft as you type), then Add to record to return here. See Notes. The action is always listed. If you aren’t allowed to add notes here, saving is refused.
Record consumption
Section titled “Record consumption”Record consumption: pick the item, the quantity (or serial number) and optional notes, then Record. The usage is tied to this visit, shows in Consumables used, and billable items are added by Generate Invoice. See Using and lending.
Opens the appointment slip in a new tab, where you choose A4 or Thermal and the language, then Print. See Print.
Delete an appointment
Section titled “Delete an appointment”Deleting is permanent, so Meddesk asks you to confirm carefully.
- Select Actions › Delete.
- Read the window Delete this appointment?. It warns that This permanently removes the appointment record. This cannot be undone. Under Kept, not deleted, it lists records that stay on the patient’s record but will no longer be linked to this visit:
- Linked billing items, for example invoice lines for this visit,
- Original request, if the appointment came from a patient’s appointment request.
- Type the patient’s full name where it says “Type name to confirm”. Capital letters don’t matter.
- Select Delete appointment.
You see Appointment deleted. and return to All Appointments.
Also kept, but unlinked from the visit: prescriptions and complications recorded during it. Notes on the appointment are deleted with it.
If you see This appointment can no longer be deleted, it has been completed in the meantime, or your permissions have changed.
