Email settings

Email controls which automatic emails go out. You need the System administrator permission to change it.

Open Configuration › Email, turn the switches on or off, then select Save changes. You see Email settings updated. All three start on.

Switch Emails it controls
Send password reset emails The reset link sent when someone uses Forgot your password? on the sign-in page. This covers staff, and patients using the patient portal.
Send appointment confirmations The email a patient gets when their appointment is Confirmed. If it had been rescheduled, the email tells them the new date instead.
Send appointment reminders Reminder emails for Confirmed appointments, sent automatically the day before and again on the day.
  • These switches only control email. If your clinic also sends messages another way, for example with the WhatsApp module, those messages are controlled by that module’s own settings and keep going out.
  • Emails are only sent to patients who have an email address on their record.
  • Each email is written in the patient’s preferred language if it’s one of your clinic’s languages, otherwise in your clinic’s default language.
  • Emails replying to a patient’s appointment request (approved or rejected) aren’t controlled here. They’re always sent.
  • Recall reminders aren’t controlled here either. They’re only sent when someone selects Send reminder.
  • If you turn off password reset emails, people who forget their password can’t reset it themselves. Staff then need someone who manages staff access to reset their password.
