Account Transfers
Account Transfers moves money from one of your accounts to another, for example from the cash drawer into the bank. A transfer is recorded as two linked transactions: money out of the first account and money in to the second. They always move together.
Before you begin
Section titled “Before you begin”You need staff access on both accounts: allowed to record money out on the “From” account, and money in on the “To” account. Both accounts must be active.
Record a transfer
Section titled “Record a transfer”- Go to Finance › New Transaction and pick Account transfer.
- Which accounts is this between? Pick the From account (where money leaves) and the To account (where it lands). They must be different accounts. You need at least two active accounts.
- Details:
- Amount: how much leaves the From account.
- If the two accounts use different currencies, also enter the Amount received in the To account’s currency. If they use the same currency, both sides must be the same amount.
- Method, Date (you can backdate it), Reference number and Notes.
- Select Transfer between accounts.
You see Transfer recorded.
Approving, voiding and deleting
Section titled “Approving, voiding and deleting”Both legs share one status:
- Approving either leg approves both, and voiding either voids both. You need the matching right on both accounts.
- Deleting a pending or voided transfer deletes both legs.
If you have Auto-approve on both accounts, the transfer is approved straight away.
Exchange rates
Section titled “Exchange rates”When one side is in your base currency, the exchange rate is worked out from the two amounts you entered. When neither side is in the base currency, the From account’s current rate is used, and the To side’s rate is worked out from the amounts.
