Treatment plans

A treatment plan groups a patient’s treatments into one course of care, so they can be tracked and costed together. For example, “Full mouth rehabilitation” with eight treatments over several months.

  • Clinical Care › Treatment Plans: “Every treatment plan tracked across the clinic.” Columns: plan, patient, clinician, completed (how many of its treatments), amount and status. Search plan, patient, or clinician, filter, and Export.
  • A patient’s Treatments tab, switched to Plans.

Select New plan on the patient’s Treatments tab, or New plan on Clinical Care › Treatment Plans. You need Create patient treatments. The wizard has these steps:

  1. Patient: only when you started from the Treatment Plans page. From a patient’s record, the patient is already chosen.
  2. Plan details: Plan name (required, for example “Full mouth rehabilitation”) and Description.
  3. Treatments: fill the plan in either or both ways, or leave it empty:
    • Start from a template: pick a plan template. Its active treatments and prices are listed, and they’re added for you, in order. Choosing a template also fills in an empty plan name.
    • Add existing treatments: pick from the patient’s existing treatments (see Add treatments). Any that are in another plan move into this one.
  4. Review: the patient, name, template and what will be moved, with every effect on other plans spelled out. Select Create plan.

You see Treatment plan created. The plan starts as a Draft.

On the plan, select Add treatment. The page lists the patient’s treatments, grouped as Not in a plan and then by each of their other plans, with each plan’s status. Search by name or code, tick treatments one by one, or use Select all on a group. Treatments that can’t join show why, with a lock:

  • Cancelled treatments stay where they are.
  • Its plan is completed, cancelled or on hold. A closed plan keeps its treatments.
  • You can’t change this treatment.

Ticking a treatment from another plan shows Moves from “Plan name”. Completed treatments can be moved too; they keep their status and history. Then Review spells out what happens before you confirm:

  • how many treatments are added, and how many move from which plan;
  • when a plan will be left with no treatments (“You can delete it afterwards”);
  • when a plan will be marked Completed because everything left in it is finished, or this plan will move to In progress because some treatments already started (when automatic status updates are on).

A plan left empty is never deleted for you. A message offers Delete plan instead.

To add something new, use Create new treatment at the top of the page. It opens Add treatment with this plan already chosen. You can also add a treatment from the patient’s tab and choose this plan under Add to a treatment plan.

A treatment’s own page has Add to a plan (or Move to another plan), and each treatment on a plan has a Remove from plan button. A removed treatment becomes standalone; its status, appointments and invoices stay as they are. Every move is recorded in the treatment’s status history, for example “Moved from “Implant course” to “Full mouth rehab”“.

Treatments can’t be added, moved in or removed while the plan is On hold, Completed or Cancelled.

Status Meaning Can move to
Draft Being put together. Active (only once it has at least one treatment), Cancelled
Active Agreed with the patient. In progress, On hold, Cancelled
In progress Treatment has started. Completed, On hold, Cancelled
On hold Paused. Active, In progress, Cancelled
Completed Finished. (final)
Cancelled Abandoned. (final)

Select Update status on the plan. With Update statuses automatically on (the default), the plan also follows its treatments:

  • An Active plan moves to In progress as soon as one of its treatments starts.
  • An In progress plan moves to Completed once every treatment in it is Completed or Cancelled, and at least one is Completed.

The plan’s status history marks these changes as Updated automatically. You can still move the plan yourself at any time.

Plans that are On hold, Completed or Cancelled can’t be edited, and can’t get new treatments or notes.

  • Treatments in this plan: each treatment with its status.
  • Progress: “x of y treatments completed”, and “x completed · y upcoming” appointments.
  • Appointments: the visits booked for the plan’s treatments.
  • Payment: how many of its treatments are invoiced (“3 of 8 treatments invoiced”) and the amounts, for staff who can read invoices. With Show estimated plan totals on, the estimates are added up.
  • Assigned clinician: who leads the plan (“Nobody is leading this plan yet” if none). Assign clinician / Change clinician needs Update patient treatments.
  • From template, Created by, Started, Last updated, and Status history.

Update status (next to Actions) moves the plan to its next status. See Plan statuses.

The Actions menu:

Action What it does Shown when
Edit plan Change the plan’s name and description. You have Update patient treatments or you lead the plan, and it isn’t Completed, Cancelled or On hold.
Add treatment Bring the patient’s existing treatments into this plan, or create a new one. See Add treatments. You may add treatments, and the plan isn’t Completed, Cancelled or On hold.
Book appointment Opens New Appointment for this patient, ready to pick the plan’s open treatments. You have Create appointments.
Assign clinician / Change clinician Choose who leads the plan. You have Update patient treatments, and the plan isn’t Completed, Cancelled or On hold.
Delete See Delete a plan. You have Delete patient treatments, and the plan has no treatments. While it has treatments, Delete is greyed out with “Move or remove its treatments first”.
Generate Invoice A new invoice with one line per treatment in the plan (cancelled ones left out). Visits, lab orders and supplies aren’t added. Useful to bill a whole plan upfront. “Treatment plan has no treatments” if it’s empty. You have Create invoices.
Add form A form filed against the plan, for example a consent for the whole course of care. You have Submit forms.
Add note A note on the plan. Always listed. Saving checks your access.
Print The treatment plan document, with each treatment and the estimates. Print has a format turned on.

With Delete patient treatments, select Delete, then Yes, delete. Only a plan with no treatments can be deleted, whatever its status. Deleting a plan never deletes treatments: move them to another plan or remove them from this one first. You’re taken back to the patient’s Treatments tab.

When you move or remove the last treatment out of a plan, a message offers Delete plan right away.
