Recalls
A recall is a reminder that a patient is due back, for example for a 6-month check-up after a cleaning, or a review a year after an implant. Meddesk schedules recalls automatically when treatments are completed, lists who is due, helps you contact them, and follows each recall until the patient is booked and seen.
Permissions
Section titled “Permissions”| Permission | Allows | Starts on these roles |
|---|---|---|
| Read recalls | Open Recalls and see who is due. | Doctor, Nurse, Receptionist, Manager |
| Manage recalls | Add, edit and dismiss recalls, send reminders and record calls. | Doctor, Receptionist, Manager |
Patients’ phone numbers show on the worklist only for staff with Read patient contact info.
Recalls after treatments
Section titled “Recalls after treatments”Which treatments bring the patient back is set on the treatment itself. Edit it in the catalog and, under Clinical options, fill in Recall:
| Field | What it means |
|---|---|
| Recall after | From the day the treatment is completed, 1 to 120 months. |
| Reason | What the recall is for, as the patient will see it, for example “6-month check-up”. |
Clear both fields to stop scheduling recalls for that treatment. Recalls already scheduled stay.
When a patient’s treatment is marked Completed, a recall is scheduled. If the patient already has an open recall from the same treatment, its due date moves instead, so completing a cleaning every six months never piles up recalls.
The worklist
Section titled “The worklist”Open Clinical Care › Recalls. The sidebar entry shows how many recalls are overdue.
- Overdue, Due in 30 days, Later: recalls you still need to act on, soonest first. Overdue rows are highlighted and show how many days late they are.
- Booked: the patient has an appointment for it.
- Closed: the patient was seen, or the recall was dismissed.
Search by the patient’s name or phone, or by the reason.
Act on a recall
Section titled “Act on a recall”Open the menu at the end of a row:
| Action | What happens |
|---|---|
| Send reminder | Sends the patient a reminder by email, and by WhatsApp when Appointment messages is on, the patient agreed to Phone messages, and your recall_reminder WhatsApp template is approved. The recall moves to Contacted. If neither can reach the patient, nothing changes and you’re told why. |
| Called the patient | Records a phone call. The recall moves to Contacted, with the date and number of contacts. |
| Book appointment | Opens New Appointment with the patient already picked and, for a recall that is not overdue yet, its due date. |
| Edit | Change the reason, due date or note. |
| Dismiss | The patient won’t be recalled for this. The recall moves to Closed. |
To add a recall by hand, select Add recall, pick the patient, and enter the reason and due date.
From booked to seen
Section titled “From booked to seen”You don’t need to update recalls yourself once the patient books:
- Booking an appointment for a patient links their earliest open recall that is due before, or within 30 days after, the visit. The recall moves to Booked, and Open visit takes you to the appointment.
- When that appointment is Completed, the recall closes as Seen.
- If the appointment is Cancelled or marked No show, or deleted, the recall goes back to the worklist.
Recalls aren’t part of the medical record: deleting a patient also deletes their recalls.
Reports, dashboard and assistant
Section titled “Reports, dashboard and assistant”- The Recalls data source lists every recall with its reason, due date, status, days overdue, how often and how the patient was contacted, the booked visit, and whether the patient came back. Templates:
- Overdue recalls: patients past their recall date who haven’t booked, most overdue first, with their contact attempts. A ready call list.
- Recalls that brought patients back: for each month, recalls due, visits booked and patients who came back, to see whether recalls work.
- The Recalls due dashboard widget shows how many patients are overdue, due in the next 30 days and booked, and who to call first. Select a count to open that list on the Recalls page.
- The patient’s 360 view has a Recalls section, with an alert when a recall is overdue.
- The AI Assistant can list recalls (for example “who is overdue?”) and, after your approval, add a recall, note a contact, send the reminder or dismiss one. It never shows patients’ phone numbers.
